How the email extractor works
The tool scans your text for anything shaped like an email address: letters, numbers or symbols, an @ sign, a domain and an extension such as .com or .co.uk. It then removes repeats, optionally lowercases and sorts the list, and shows the count. Everything happens in your browser. Nothing you paste is sent to a server.
How to extract emails from different sources
- Email thread or document: select all, copy, paste into the box.
- Excel or Google Sheets: copy the column or the whole sheet and paste it in. Emails buried inside longer cells are found too.
- Web page: open the page, press Ctrl+A then Ctrl+C, and paste. For addresses hidden in links, use View Source and paste that instead.
- PDF: copy the text from the PDF reader and paste it in. Scanned PDFs need OCR first.
Extract emails in Excel without a tool
In Microsoft 365 you can pull the first email from a cell with a formula. This one splits the text on spaces and returns the part that contains an @ sign:
=TEXTJOIN(", ",TRUE,FILTER(TEXTSPLIT(A2," "),ISNUMBER(SEARCH("@",TEXTSPLIT(A2," ")))))It leaves trailing commas or brackets attached, so for messy text the extractor above is cleaner. After you extract a list, use remove duplicates in Excel to merge it with an existing list.
Use extracted emails responsibly
Finding an address does not mean you can market to it. Laws such as CAN-SPAM in the US and GDPR in the EU set rules for unsolicited commercial email, including consent, a clear sender identity and an unsubscribe option. Use this tool for cleaning your own lists, collecting contacts from conversations you were part of, and sorting inbound enquiries. If you plan outreach, get legal advice for your country and send only to people who have a reason to expect your message.
